Executive Coordinator to Deputy Executive Director (STC-1Y)

Job Description

We are now hiring for the position of Executive Coordinator based in Taipei office. She/he will be responsible for working closely with the Deputy Executive Director and the Leadership Management Team in the Fundraising & Engagement Department (FR&E). The Executive Coordinator supports the priorities and focus of the Deputy Executive Director alongside the management of the department in order to maximize their effectiveness in providing strategic leadership to the department.

Job Responsibilities:

  1. Provide assistance to the Deputy Executive Director for meeting preparation and planning events. To enable the Deputy Executive Directors to work efficiently and effectively by overseeing all matters relating to organizing the Deputy Executive Director's agenda and logistical needs
  2. Create and edit documents, presentations, and correspondence for the Deputy Executive Director upon request. Reviews, assesses, routes, answers and monitors follow up on correspondence
  3. Coordinate special projects, including those within the organization and sometimes with allies as delegated by the Deputy Executive Director
  4. Gathers and analyzes information required for administrative reporting. Organize briefing notes, background papers and /or internal and external reports
  5. Gather, coordinate and disseminate relevant fundraising & engagement internal communications of Greenpeace East Asia within the office and to the global organization. Assist the Deputy Executive Director in communicating with internal and external stakeholders
  6. Provide support to the Deputy Executive Director in producing and monitoring yearly Fundraising & Engagement Development Plans
  7. Maintains department knowledge management system(s)
 

Requirement

Requirements:

  1. Strong executive administration skills & effective project management skills
  2. Good time management including knowledge of time management web-based tools like G Suite (e.g. Google Keep)
  3. Strong organizational, project management and problem-solving skills with multi-tasking abilities
  4. Understanding of financial documents and solid mathematical skills

 

It would be an advantage if you have the experiences & qualifications listed below :

  1. Minimum of 4+ years of experience as an Executive Assistant/ Project management
  2. Easy to adapt to the diverse & multicultural environment and new technologies.
  3. Living abroad or international work experience.
  4. Digital Marketing or digital-related experience.
  5. Deep understanding of Financial Document & solid mathematical skills.
