【Position Overview】
We are seeking an experienced, highly organized, and detail-oriented Executive Assistant to provide comprehensive support to the CEO. This position plays a crucial role in managing the CEO’s schedule, communications, and operations, ensuring that daily tasks run smoothly and that the CEO’s time is effectively utilized. The ideal candidate will be proactive, professional, and capable of managing multiple tasks and priorities in a fast-paced environment.
【Key Responsibilities】
**Calendar Management:**
- Schedule and coordinate meetings, appointments, and travel for the CEO, ensuring optimal time management and avoiding conflicts.
- Prioritize and handle calendar appointments, meetings, and events in line with the CEO’s preferences and strategic goals.
**Communication:**
- Act as the primary point of contact between the CEO and internal/external stakeholders.
- Handle incoming emails, phone calls, and correspondence, ensuring timely and appropriate responses.
- Draft, proofread, and prepare correspondence, presentations, and reports.
**Travel and Logistics:**
- Plan and arrange domestic and international travel, including flights, accommodations, and itineraries.
- Prepare travel documents, meeting agendas, and other necessary information for CEO’s business trips.
**Project Management:**
- Assist in tracking and managing key projects, ensuring deadlines are met and the CEO is kept updated on progress.
- Provide logistical support for meetings, events, and conferences.
**Confidentiality and Discretion:**
- Handle sensitive and confidential information with utmost discretion.
- Assist with strategic initiatives and special projects as requested by the CEO.
**Team Coordination:**
- Support CEO in team coordination, scheduling all-hands meetings, and internal communications to ensure alignment across departments.
- Help prepare agendas and materials for executive and board meetings.
【Skills and Qualifications】
**Education & Experience:**
- Bachelor’s degree in Business Administration, Communications, or a related field (preferred).
- Minimum of 3~5 years of experience as an executive assistant or in a similar administrative role, preferably in a C-suite environment.
**Skills:**
- Excellent organizational and multitasking abilities.
- Strong written and verbal communication skills.
- Proficient in Microsoft Office Suite, Google Workspace, and other office management tools.
- Ability to anticipate needs, exercise sound judgment, and problem-solve effectively.
- Strong interpersonal skills and the ability to work with high-level executives and other team members.
